Before submitting cases, you must register and obtain a username and password to enable access to the Radiology Information System (RIS). This requires completing an online registration form: REGISTER . You will be telephoned at your practice within 1-2 days to confirm details and be given your password.

There are 2 steps in the submission of imaging studies.

1. Send Your Images to Our Server
If you enjoy computer manipulations, you will be able to complete the following on your own. If you would rather have someone walk you through the process, simply let us know when we confirm registration and we will assist in configuring your computer to send images directly to us. You must have images in DICOM format access our server. We do not need your DICOM i.p. address to receive images so your computer remains secure and other parties cannot access your images. We will provide details of our server address and assist in configuring your computer to send images on activation of your user profile.

Ordering an interpretion simply involves sending the images to us. Once our server has received the study (this may take several minutes depending on various factors), patient identification is extracted and an order is AUTOMATICALLY GENERATED in the RIS.

2. Update the Study details in the Radiology Information System (RIS)
Once an order is generated, you need to log into the RIS to enter additional information. Once logged in, you will also have access to all cases and reports from the group to which you are assigned. A ‘group’ might consist of the veterinarians within a practice or perhaps a group of practices under the same ownership/management. Whether you want a group profile or individual only access to your images is your decision and this can be modified at any time.

To update the order, add the following:

The History and Clinical Signs will need to be entered in text fields.

Species, Breed, and Gender are entered from pulldown menus that are self explanatory

Imaging examination/procedure: This may have been extracted from the image files but can be added if the field is empty.

There is another text field for Additional Comments where you can enter additional information or requests.

STAT status: If you require a STAT interpretation, simply check the STAT box. This will automatically send a textpage to the duty radiologist indicating that a STAT interpretation is required. We will do our best to respond with either a phone call or a provisional report or both within 2 hours. Currently this service is only available for orders placed between 8 am and 5pm EST Monday through Friday.

Accessing Reports
Once you have updated the study details, the study is available to the radiologist for interpretation. Once the interpretation if FINAL, you will receive an e-mail indicating that the report is accessible online in the RIS. If selected in your preferences at registration, you will also be sent the finalized report by FAX. To maintain data security, final reports are not e-mailed.

Non DICOM Images
If your digital images are not in DICOM format, (but are tiff, bitmap and jpeg images), as might occur from a digital camera on from a film scanner, they must be converted to DICOM for submission and interpretation. We can assist you with the software to do this. In addition, digital movie files (eg avi, mpeg, quicktime) can be uploaded. If you would like to pursue these options for non radiographic images or photographs of radiographs please email your request to telemedvet@ncsu.edu.

Billing and Fees
Your practice will be send a monthly statement detailing the services provided and associated fees. Payment is expected within 30 days.
